Who we are

ChatGoose provides an AI lead-handling concierge for UK estate and letting agents. Agencies use ChatGoose to receive enquiries (via a website chat widget, email, and WhatsApp) and to qualify leads, match them to available properties, and book viewings. In this policy, “we”, “us”, and “ChatGoose” refer to PropertyGoose Ltd (company number 16770989), registered office: Unit 3b, Aquila House, Pierhead Street, Cardiff, Wales, CF10 4PH, the operator of the ChatGoose service and the data controller for the purposes of this policy.

The data we process

Depending on how you interact with an agency that uses ChatGoose, we may process:

  • Contact details you provide — name, email address, phone number.
  • Enquiry details — the messages you send, your property requirements (budget, bedrooms, area, move-in date, and similar), and viewing preferences.
  • Conversation metadata — timestamps, the channel used (web chat, email, or WhatsApp), and a per-visitor session identifier.
  • Account data for agency staff who log in — name, email, and authentication details.

How we use it

  • To respond to your enquiry and help you find a property and arrange a viewing.
  • To qualify and route your enquiry to the right agency and negotiator.
  • To send you confirmations and follow-ups (for example, a viewing confirmation or calendar invite).
  • To operate, secure, and improve the ChatGoose service.

WhatsApp and messaging

When an agency connects a WhatsApp Business number, messages you send to that number are received and processed by ChatGoose on the agency’s behalf so the agency can reply. WhatsApp messages are delivered through the WhatsApp Business Platform and are subject to WhatsApp’s own privacy policy. We use this data only to handle your enquiry, not for advertising.

Sharing

We share personal data only as needed to provide the service:

  • With the estate or letting agency you are enquiring with, and its staff.
  • With service providers who process data on our behalf — including hosting, email delivery, calendar providers (Google / Microsoft) where a negotiator has connected one, and AI model providers used to generate replies.

We do not sell your personal data.

Retention

We keep enquiry and conversation data for as long as needed to handle your enquiry and for the agency’s legitimate business and legal record-keeping, after which it is deleted or anonymised.

Your rights

Under UK GDPR you have rights to access, correct, delete, or restrict the processing of your personal data, and to object to processing. To exercise these rights, contact the agency you enquired with, or email us at the address below and we will assist.
